Job Title: Part-time Operations and Communications Manager
Location: Remote
Reports To: Executive Director
Hours: 4 hours/week (1-2 hrs/day for 3-4 days a week) freelance, with the opportunity to move to an employed role in the future
Compensation: £16/hour and free participation in Radical Embrace events
About The Radical Embrace
The Radical Embrace provides embodied and relational healing and transformation at the intersection of Dharma, somatics and social and environmental justice activism. We are a community-interest company (CIC) delivering online and in-person classes, courses, workshops, retreats and 1:1 Somatic Experiencing therapy.
Position Overview
We are seeking an organised, energetic, and adaptable Operations and Communications Manager to provide critical support for our day-to-day operations. The ideal candidate will thrive in a fast-paced, ever-evolving environment while also bringing steadiness, deep listening, and a grounded, genuine passion for our mission.
The Operations and Communications Manager will play a key role in event coordination, communications, and marketing. This position calls for strong attention to detail, flexibility, and a real commitment to supporting the values and goals of The Radical Embrace.
As a small CIC, we need someone with a proactive, adaptable, and positive attitude who's happy turning their hand to a wide range of tasks and responsibilities. In return, you'll have a good deal of autonomy and the chance to shape the growth and direction of the organisation with your own ideas.
There's also scope for the role to expand over time as our activities and the organisation grow — particularly in the marketing side of things.
Key Responsibilities
Event Coordination:
Set up automated workflows, including triggers, tags and emails in our CRM system for events.
Set up online learning portals for courses, workshops, and events
Coordinate online classes, courses, workshops, and retreats ensuring logistical needs are met
Track event registrations, payments and ensure attendees receive event information and joining details ahead of time
Respond to email enquiries from potential and registered attendees
Edit online event recordings and upload to Google Drive, website, etc.
Prepare and send follow-up event information to attendees
Coordinate volunteers for Zoom tech support and retreat organising
Communication & Outreach:
Keep the website up-to-date with event information
Help craft and send weekly newsletters and other promotional materials
Support the Executive Director with email marketing planning
Support the Executive Director with publicity communications and coordination
Financial & Resource Management:
Manage donation tracking and reporting
Manage client invoicing and payment tracking
Provide information to the bookkeeper in a timely manner to assist with end of year reports
Collaborative Support:
Support the organisation in creating the conditions for a diversity of people to access our offerings, especially people of colour, LGBTQ+ people, people with disabilities and those from a working class background
Work closely with the Executive Director and associate teachers to support ongoing projects and administrative needs
Other duties: as needed to ensure smooth operations and alignment with our mission
Experience
Required Experience:
Minimum 2 years in operations roles in relevant fields (education, charities, etc.)
Familiarity with basic office software (Google Suite, Microsoft Excel, etc.) and online communication tools (Zoom, WhatsApp, Signal)
Familiarity with basic website editing skills (embedding forms and creating pages on websites).
Familiarity with CRM systems, workflow planning and automation
Desired Experience:
Good understanding of CRM (Customer Relationship Management) systems
Good understanding of cloud-based accountancy software
Good understanding of Squarespace (website design)
Experience and good knowledge of email and social media marketing strategies.
Skills:
Strong organisational skills with the ability to prioritise and manage multiple tasks
Ability to design systems for efficiency
Excellence in supporting client journeys
Excellent written and verbal communication skills
Ability to work collaboratively and independently in a dynamic, fluid environment
Comfortable with technology and learning new tools quickly
Understanding of basic bookkeeping
